Zoti Booking for Zoom
Zoti's team books sales appointments for the businesses it works with. If you take those meetings, Zoti Booking can give each one its own Zoom meeting, made in your Zoom account, with the link already in the calendar invite.
Before you start
- You take meetings for a business that works with Zoti, and you have the private connect link that business or Zoti sent you. Each link is for one person and lasts 7 days.
- You have a Zoom account. Your Zoom plan's limits apply to the meetings Zoti makes (for example, Zoom's free plan limits meeting length).
- Your work calendar (Google Calendar, or Outlook / Microsoft 365) is connected on the same page. The booked meeting goes on that calendar, and Zoom supplies its link.
- If your company manages your Zoom account, its Zoom administrator may need to allow the app first.
Adding the app
- Open the private connect link you were sent. The page greets you by name and lists Google Calendar, Outlook / Microsoft 365 and Zoom.
- If your calendar is not connected yet, click Connect next to it first and approve.
- Click Connect next to Zoom.
- Sign in to Zoom, if you are not already signed in.
- Zoom shows what Zoti Booking asks to do (see What Zoti can see and do). Click Allow.
- You are back on your connect page, which says Zoom is connected and shows Connected ✓ next to Zoom. You can close the page.

Using the app
There is nothing to do day to day. When Zoti's team books a meeting with you on a calendar set to use Zoom:
- Zoti checks your calendar is free at that time.
- Zoti creates one scheduled Zoom meeting in your Zoom account, named after the meeting, for example "Discovery call: Dana and Gina". The waiting room is on, and nobody can join before you.
- Zoti adds the meeting to your calendar with the Zoom link, and the prospect gets the invite with the same link.
- You start the meeting from Zoom or from the link in your calendar, as you would any Zoom meeting.
If a booking cannot be finished (for example the calendar did not accept the event), Zoti deletes the Zoom meeting it had just created, so no stray meetings are left in your account.
If your Zoom connection stops working, Zoti does not book you onto Zoom meetings until you reconnect. Callers see that you are unavailable rather than booking a meeting without a link.
What Zoti can see and do
| Zoom permission | What Zoti uses it for |
|---|---|
user:read:user | Reads your Zoom user ID and email once, when you connect, so Zoti knows which Zoom account is yours. |
meeting:write:meeting | Creates one scheduled meeting in your account for each meeting Zoti books for you. |
meeting:delete:meeting | Deletes a meeting Zoti created, when the booking it was made for could not be finished. Zoti never deletes meetings it did not create. |
Zoti does not read your other meetings, recordings, chats, contacts or settings. It keeps only an encrypted key that lets it create meetings for you, your Zoom user ID and email, and, for each meeting it booked, the meeting's ID and link. Zoom data is never sent to AI tools. See our Privacy Policy.
Removing the app
- Sign in at marketplace.zoom.us.
- Click Manage, then Added Apps.
- Find Zoti Booking and click Remove, then confirm.
What removing it changes
- Zoti can no longer create Zoom meetings for you, so you are not booked onto calendars that make a Zoom link until you reconnect. The business you work with can switch you to a fixed meeting link instead.
- Meetings already booked stay in your Zoom account and on the calendar invites, and still work.
- Your calendar connection is not affected. To disconnect it too, see our Privacy Policy.
What happens to your data
- Zoom tells Zoti as soon as you remove the app. Zoti then deletes your Zoom connection: the encrypted key, your Zoom user ID and your Zoom email. It keeps a note that a Zoom connection was removed, with no personal details.
- The appointment records that the business you work with keeps (time, prospect, and the meeting link) stay with that business's records. To ask us to delete those, email hello@zoti.io.
Using it again
Open your connect link and click Connect next to Zoom. If the link has expired, ask the business you work with, or Zoti, for a new one.
Troubleshooting
"This link has expired or is no longer valid"
Connect links last 7 days and work only while you are an active host. Ask whoever sent it for a new one.
"This sign-in timed out, or it did not start from your connect link"
Sign-ins must be finished within 10 minutes and must start from your connect link, not from Zoom's site. Open your link and click Connect again.
"The sign-in was cancelled, or your account's administrator did not allow it"
You clicked Cancel on Zoom's screen, or your Zoom administrator has not allowed the app. Try again, or ask your administrator.
Zoom still says "Reconnect"
Zoom stopped accepting the connection (for example after a password change, or after the app was removed). Click Reconnect and approve again.
